Notification rules
A rule is one named stock-alert configuration. Your shop can have as many as you like, each with its own triggers, its own monitored variants, its own recipients, and its own on/off switch — so different teams can watch different things without stepping on each other.

The rules list
Section titled “The rules list”Notifications → Stock notifications lists every rule you’ve created, above two counters — Total rules and Active rules.
| Column | What it shows |
|---|---|
| Rule | The rule’s name, with All variants in view or Specific variants underneath. |
| Scope | Global or Per location. |
| View | The Forecast view that scopes the rule, or All variants if none is set. |
| Triggers | A one-line summary of what’s switched on, e.g. Stock-out · ≤ 25 units · Constants: min, reorder point. Reads No triggers when nothing is enabled. |
| Recipients | How many people are subscribed to this rule. |
| Status | A switch plus an Active / Inactive badge — flip a rule on or off without opening it. |
| Updated | When the rule last changed. |
The search box filters by name. Each row’s Actions menu offers Edit rule, Enable rule / Disable rule, Send test email, and Delete rule. Tick several rows to delete them together.
Creating a rule
Section titled “Creating a rule”- Click New rule.
- Give it a Rule name — this is what you’ll see in the list and in every alert email. “Low stock — bestsellers” is more useful than “Rule 2”.
- Click Create & configure to open the editor.
The rule editor
Section titled “The rule editor”Five tabs, plus an Enable this rule switch and an Active / Inactive badge in the header:
| Tab | What’s on it |
|---|---|
| General | Rule name, Scope, Forecast view, and (on per-location rules without a view) the Locations picker. |
| Triggers | Monitoring scope, the default triggers, and the variant-constant triggers. See Triggers. |
| Variants | The variants this rule watches and any per-variant overrides. See Monitored variants. |
| Recipients | Who gets this rule’s emails. See Recipients. |
| Preview | A live preview of each alert email using sample data. |
Changes are not saved as you type — press Save at the bottom when you’re done. If you try to navigate away with unsaved work, Logistified asks first.
Scope — Global or Per location
Section titled “Scope — Global or Per location”The Scope setting on the General tab decides what “stock” means for this rule. Pick one:
Global (shop-wide inventory) — triggers are evaluated against your total available stock across every location. One number per variant, one alert per variant. This is how notifications have always worked, and it’s the right choice when you sell from a single pool and don’t care where the units sit.
Per location (inventory at each location) — triggers are evaluated separately at each location, so a variant can alert for the warehouse where it ran out without going quiet just because another warehouse still has plenty. Choosing this also unlocks the four variant-constant triggers.
Alerts from a per-location rule name the location that crossed the boundary, and the location appears in the Activity table on the Notifications hub.
Narrowing what a rule covers
Section titled “Narrowing what a rule covers”Two independent controls, both optional:
- Forecast view — pick a saved view and the rule only watches the variants in it (on a per-location rule, only that view’s selected locations, too). Choose No view — all variants to watch your whole catalog. A view is only required for the days-from-reorder trigger.
- Locations — on a per-location rule with no view selected, pick the locations to watch. Leave it empty and every location is monitored; the help text under the picker tells you which of the two you’re in (“All locations are monitored. Pick locations to narrow the rule.” or “Monitoring 2 of 5 location(s).”).
Send a test email
Section titled “Send a test email”Every rule has a Send test email button — at the bottom of the editor and in the list’s Actions menu. It sends a real email, right now, so you can check the wording and confirm delivery before you switch the rule on for your team.
- Click Send test email. The dialog tells you which triggers will be tested — one email per enabled trigger.
- Choose a variant. Click Choose a variant and pick a real product from your catalog. The test uses that variant’s actual current stock against this rule’s thresholds, so what you receive matches what a real alert would look like.
- Pick a location — per-location rules only. The test then reads stock and constants at that location. If the rule watches exactly one location, it’s chosen for you.
- Choose recipients. Tick anyone from the rule’s saved recipients, and/or type a one-off address into Also send to. The dialog keeps a running count: “Sending to 2 recipients”.
- Click Send test email.
Test emails are marked [Test] in the subject so nobody mistakes one for a real alert. They also never affect cooldowns — sending a test won’t suppress the genuine alert that follows, and won’t consume the 24-hour days-from-reorder window.
If the rule has no trigger enabled there is nothing to test, and the dialog says so.
Enabling, disabling, and deleting
Section titled “Enabling, disabling, and deleting”- Enable this rule at the top of the editor, or the Status switch in the list, turns a rule on and off. A disabled rule keeps its whole configuration — nothing is lost.
- Delete rule removes the rule permanently, along with its recipients, its variant overrides, and its alert history. It asks for confirmation first.
