Issuing supplier credits

Elevate plan

Three ways to issue a supplier credit from an RMA. Pick the one that fits the supplier’s response. This page is the canonical reference for credit minting; the credit ledger lives at Suppliers → Credits; applying credits to POs is at Purchase Orders → Applying supplier credits.

In the UI, the Create credit dialog shows three mode buttons: Grouped, Individual, and Edit (for editing an existing credit on this RMA).

  • The three mint paths
  • Issuing credits through an assistant
  • What happens when a credit is issued
  • Currency
  • The total credit amount
  • Voiding and editing a credit
  • Auto-allocation
  • Cancellation does not void credits

The status requirements in this table describe actions in the Logistified app. Connected assistants have the additional requirements below.

PathUI labelUse whenStatus requirementSets credit status to
Issue credit for one line(single-line action from the line row)Crediting line-by-line as inspection completes.Received by Supplier, Inspection Complete, or Resolved.”Issued” for that line.
Issue per-item (individual) creditsIndividual in the Create credit dialogCrediting many lines at once.Any status.”Issued” per line.
Issue a grouped creditGrouped creditA supplier credit covering the whole RMA rather than individual lines. Used when the supplier issues one lump-sum refund. Read more → Grouped in the Create credit dialogSupplier sends one lump-sum credit covering the whole RMA.Any status.”Issued” for every line.

A connected assistant with write access can issue Individual (per-line) or Grouped credits on the Elevate plan. Both require a supplier assigned to the return order and one of these current statuses:

  • Received by Supplier
  • Inspection Complete
  • Resolved

The app’s Any status entries above do not apply to assistant-issued credits. For example, an assistant cannot issue a grouped credit on a Draft RMA. Closed, On Hold, Rejected, and Cancelled are also outside the eligible statuses, even if the goods reached the supplier earlier.

If credit creation is refused, check the return order’s assigned supplier, current status, and actual return progress. If the saved status is out of date, ask the assistant to make only supported lifecycle changes that reflect what has actually happened and that you authorize. Do not advance or reopen a return solely to unlock credit. If the goods have not reached the supplier, wait for confirmed receipt before asking the assistant to issue the credit. If no supplier is assigned, choose the correct supplier before issuing it.

Reaching an eligible status does not create a credit automatically; issuing the agreed credit remains a separate action. See Operating transfers, stock takes & returns for the assistant’s other return-order actions.

  • A credit row appears in the supplier’s credit pool.
  • The credit memoCredit memoThe document confirming a supplier credit. Logistified generates a credit memo number for each credit you issue. Read more → number is auto-generated.
  • The total credit amount on the RMA header is recomputed (for individual and grouped paths; see caveat below).
  • The credit becomes available for application to future POs.

Each credit keeps its own currency. When you edit a credit, the amounts are shown and labelled in that credit’s currency. The RMA’s total credit amount counts the credits in the supplier’s currency; credits issued in another currency are listed separately on the RMA (for example “Also issued in USD: $100.00”), so amounts in different currencies are never added together on the RMA. The balance roll-up on the supplier’s Credits tab still sums every currency (see Suppliers → Credits), so we still recommend keeping a supplier on a single currency where you can.

Every way of issuing, editing or voiding a credit (single line, Individual, Grouped, Edit and Void) recomputes the RMA’s total credit amount from its credits, so it always matches the credits it shows. Editing one credit of an RMA that has several keeps the others in the total.

If some lines were removed from the RMA while the Individual credits dialog was open, the credits for the remaining lines are still created and you’re told what was skipped: “Created 1 of 2 credits. 1 item was skipped because it is no longer on this return order.” If none of the lines are left, nothing is created and the dialog stays open.

VoidingVoidRemove a supplier credit from the available pool. Irreversible. Use it only when the credit was issued in error. Read more → removes the credit from the supplier’s available pool. Voiding is irreversible; there is no “unvoid” action. If you’re not sure, edit instead.

Editing a credit can change the total amount, the per-line breakdown, and the credit memo. Edits cascade back to the RMA header’s total credit amount.

There is none. Credits sit in the supplier’s pool until you choose to apply them to a specific PO.

If you cancel an RMA after issuing credits, the credits stay valid. To remove them, void each one explicitly.
