Plan for a large order with an inventory commitment
This guide takes one large order, such as a wholesale order, a contract or a promotion, from the first phone call to delivery, using an inventory commitment. For every option along the way, see Inventory Commitments.
Before you start
Section titled “Before you start”- Your shop is on the Elevate plan.
- The products exist in Shopify (or as virtual materials in Assemblified).
- To order the stock with one click, the products are connected to their suppliers. See Connect suppliers to variants.
- Optional: demand types, reasons and sources that fit your business. See Inventory Planning settings.
-
Create the commitment. Open Inventory Planning › Inventory Commitments, click Create Inventory Commitment › Create manually, and give it a name. To create several commitments from a customer’s spreadsheet, choose Import from CSV/XLSX instead. See Creating a commitment.
-
Set the date and the probability. Under Target date, choose Single date if the order ships on one day, or Date range if it’s spread over a period. Set the Default probability to how likely the order is. Click Create Inventory Commitment. The new commitment opens in Draft.
-
Add the products. On the Items tab, click Add items and pick Add from Shopify, Virtual materials, Scan barcode or Upload CSV. Enter each item’s Estimated qty and, if the demand is at a specific store or warehouse, its Location. See Items, dates & probability.
-
Confirm it. Click Confirm. The status stepper moves to Confirmed, and the badge next to Details changes to Feeds forecast.
-
Check the forecast. Open a forecast view with these products. Under each variant’s In Stock quantity, a line such as ”− 400 planned outflow” shows the units the commitment still takes from tomorrow on, and the reorder dates and quantities now include them. In the Supply view, the period it lands in shows a planned outflow icon. Click the cell: its card shows Planned outflow under Inventory movements, and Inventory documents lists the commitment by its plan number. See Plans in the forecast.
-
Order the stock. Order through the forecast as usual, or straight from the commitment with Actions › Create purchase order: pick the Destination location the stock should arrive at, choose Planned quantity or Probability-weighted, and click Create purchase order. Logistified creates one draft purchase order per supplier and opens the first. See Order stock for a plan.
-
Keep it up to date. As the deal firms up, raise the probability (Edit details › Default probability, or an item’s Probability %) or adjust quantities on the Items tab. When the numbers are final, click Lock so nobody changes them by accident. A Locked commitment still counts in the forecast and can still create orders.
-
Complete it. When the order has shipped, click Complete. It’s the main button on a Locked commitment, and in the Actions menu on a Confirmed one. The commitment stops counting as future demand, because the real sales now show up in your history. If you complete it before its dates are over, Logistified asks first (“Complete this plan early?”). If the deal falls through instead, choose Actions › Cancel and confirm with Cancel plan; a cancelled commitment can’t be reopened.
Worked example
Section titled “Worked example”A hotel chain tells you it plans to order 500 bath towels for its spring refurbishment, delivered across March. They’re fairly sure: you put it at 80%.
You create the commitment Hotel chain spring order with a Date range from Mar 1, 2027 to Mar 31, 2027 and a Default probability of 80. On the Items tab you add the bath towel at your main warehouse with an Estimated qty of 500. The Expected qty reads 400.
You click Confirm. In your forecast, the towel’s In Stock cell shows ”− 400 planned outflow” before March starts (it counts only the days still to come), spread over March at about 13 a day. Its reorder date moves earlier and the suggested reorder quantity grows. You choose Actions › Create purchase order, pick your warehouse as the Destination location and choose Planned quantity (500 units), because you’d rather have enough if the deal goes ahead, and send the draft purchase order to your supplier.
In mid-February the hotel confirms. You raise the Default probability to 100 and click Lock. In early April, after the last delivery, you click Complete.
Common failure modes
Section titled “Common failure modes”| Symptom | Likely cause | Fix |
|---|---|---|
| Confirm is greyed out | The commitment has no target date, or no items yet. | Point at the button to see the reason. Set a date with Edit details, or add items on the Items tab. |
| The forecast didn’t change | The commitment is still Draft, or it was excluded from the forecast. | Check the badge next to Details. Confirm the commitment, or choose Actions › Include in forecast. |
| The forecast changed less than expected | The probability is below 100%, or part of the dates are already in the past. | Check the Expected qty column. Only future days count. |
| The demand doesn’t show in a location’s forecast view | The item is Unallocated (all locations). | Set the item’s Location. |
| A product can’t be ticked in the picker | It’s already on the commitment (Already added). | Change the quantity of the existing item instead. |
| Create purchase order skipped some items | Those products have no supplier. | Connect them to a supplier, then order them separately. |
| ”No item has a quantity to order.” in the order dialog | Every item’s Estimated qty is still 0. | Enter the quantities on the Items tab first. |
| The quantities can’t be changed any more | The commitment is Locked or Completed. | Release a Locked commitment, or Reopen a Completed one. |
